POSITION: Human Resources Compliance Specialist I (Full-Time)

HOURS: Monday - Friday, 9AM - 6PM; or when otherwise required

RATE: $23-$27 hourly

REPORTS TO: Director of Human Resources


PRIMARY FUNCTION:

The HR Compliance Specialist I supports the organization’s human resources compliance and employee relations functions. This role conducts workplace investigations, assists in reviewing compliance matters, prepares disciplinary documentation, and supports leadership in addressing workplace concerns.

The HR Compliance Specialist I manages assigned investigations and employee relations matters under the guidance of the Director of Human Resources and in coordination with the HR Compliance Specialist II, ensuring documentation, training, and corrective actions are completed in accordance with organizational policies and legal requirements. The position provides operational support to the HR Compliance Specialist II in complex investigations, compliance reviews, and employee relations matters. 

This role supports organizational risk management by addressing sensitive employee concerns, conducting fact-finding investigations, and ensuring corrective actions, training, and compliance documentation are handled consistently and in alignment with applicable laws and organizational standards while maintaining strict confidentiality.

 KEY ROLES (Essential Job Responsibilities):

  • Assist in developing, implementing, and managing HR compliance policies and procedures aligned with current employment laws and regulatory requirements (e.g., FLSA, FMLA, ADA, EEO, OSHA).
  • Monitor legislative and regulatory developments affecting HR practices and support updates to internal policies and procedures as needed.
  • Assist in conducting internal audits and risk assessments to evaluate the effectiveness of HR compliance programs.
  • Conduct intake and review of workplace concerns, complaints, and allegations.
  • Assist in investigating potential violations of labor laws or internal policies, document findings, and recommend corrective actions.
  • Support HR leadership and legal counsel during audits, investigations, or regulatory inquiries.
  • Provide training and support to staff and management on compliance topics, including workplace ethics, anti-harassment, and professional conduct.
  • Maintain accurate and confidential investigation records and personnel documentation.
  • Prepare summaries and reports related to investigations and compliance matters. 
  • Assign and coordinate corrective or refresher training following investigations, policy violations, or disciplinary actions to ensure employees understand expectations and prevent repeat violations. 
  • Monitor compliance with required trainings, policy acknowledgements, and certifications to ensure employees remain aligned with organizational standards and contractual obligations. 
  • Ensure corrective actions, disciplinary measures, and training assignments resulting from investigations are completed and properly documented.
  • Support the organization’s response to employment-related claims by gathering documentation and assisting HR leadership as needed. 
  • Maintain accurate and organized documentation for investigations, corrective actions, and compliance matters to ensure records remain audit-ready for internal review, legal defense, and regulatory compliance. 
  • Maintain accurate documentation within HR systems including ADP, training platforms, and internal recordkeeping systems to ensure compliance records remain complete and accessible.
  • Attend trainings relevant to primary job functions and maintain awareness of employment law and HR compliance updates.
  • Work effectively with HR staff and leadership to support employee relations and compliance initiatives.
  • Manage special projects as assigned.
  1. Investigations

  • Conduct workplace investigations, including:
    • Conduct complainant and witness interviews
    • Gather employee statments and evidence
    • Analyze documentation and information from internal systems
    • Assist in developing factual findings
    • Draft investigation summaries and documentation
    • Maintain investigation files and documentation
  • Manage investigations and assist in bringing investigations to a timely closure.
  • Collect and analyze employee statements and evidence. 
  • Monitor investigation outcomes and employee relations trends to identify systemic concerns, training gaps, or operational risks and recommend proactive solutions. 
  • Analyze investigation trends and produce strategic recommendations to the organization to proactively address systemic issues
  • Partner with HR leadership to engage in continuous improvement of communication practices and policies
  • Partner with HR leadership in the analysis and revision of HR programs, policies, and practices to help sustain a positive work environment

2. Interactive Process and Reasonable Accommodations

  • Assist in coordinating the interactive process for employee accommodation requests.
  • Gather documentation related to accommodation requests and assist HR leadership in evaluating requests.
  • Maintain accurate records of communications and determinations.
  • Provide updates to HR leadership regarding the status of accommodation requests.

3. EEOC and DFEH Defense

  • Support HR leadership in responding to employment-related claims by:
  • Gathering relevant documentation
  • Assisting in investigating claims
  • Organizing records related to agency responses
  • Assisting with the preparation of response materials

4. Training

  • Provide support for training related to investigations, employee relations, workplace expectations, and compliance topics.
  • Attend trainings to remain current on employment laws and HR compliance practices.

5. Other

  • Manage Special Projects as assigned
  • Other duties as assigned

 QUALIFICATIONS:

1. Expectations

  • Must have reliable transportation, a valid driver’s license, and the ability to get to and from work at the scheduled times.
  • The Club has a mandatory overtime policy when required. This could extend your workday and/or may require working on Saturdays as needed. You must be available for this type of work schedule.
  • CPR/First Aid Certification (Adult, Child, Infant preferred), or attend and successfully complete certification within the first month of employment.
  • Must pass a background check, TB, and drug test.
  • At least one year of experience conducting employee relations or human resources functions, including leave of absences, benefits, and other HR roles with minimal guidance;
  • Experience assisting with workplace investigations, employee relations matters, or HR compliance activities preferred.
  • Specialized training in employment law, workplace investigations, ADA compliance, employee relations, workplace safety, or labor relations preferred.
  • Demonstrated ability to identify issues, gather relevant information, and assist in developing practical solutions under the guidance of HR leadership.
  • Demonstrated fluency with Google Workspace including Docs, Sheets, and Gmail is essential.
  • Demonstrated success working in a fast-paced, high-volume environment and managing multiple tasks simultaneously.
  • Multilingual skills beneficial.

 2. Education/Skills

  • Certificates in Human Resources, Business Administration, Law, or a related field. Associate’s degree preferred. 
  • 1+ years of progressive HR, compliance, employee relations, or administrative experience, including experience supporting HR functions or investigations.
  • Basic understanding of federal, state, and local employment laws and HR best practices.
  • Ability to maintain confidentiality and professionalism when handling sensitive employee and organizational information.
  • Ability to manage multiple priorities in a fast-paced, dynamic environment.
  • Proficiency in HRIS systems and Google Workspace.
  • Strong written and verbal communication skills, including documentation and report preparation.

 3. Physical Requirements/Work Environment

  • Maintain a high energy level and positive representation.
  • This role involves travel between Club sites and requires the operation of a personal or Club vehicle. Employment is contingent upon maintaining a valid California driver’s license and a driving record that meets the insurance carrier’s underwriting requirements. Employees must remain insurable at all times during employment in this role.
  • This role is eligible for mileage reimbursement for travel costs from site to site.
  • Be comfortable performing multi-faceted projects in conjunction with day-to-day activities.
  • Must be able to work in loud environments and communicate clearly.
  • Standard office environment with occasional travel for audits, investigations, or compliance training.
  • May be required to work extended hours during compliance deadlines or incident response.
  • Will be required to travel to other work locations as needed.
  • Sit or stand for four-plus hours per day.
  • Stoop, bend, climb, and walk frequently.
  • Lift up to 40 pounds.
