TITLE: Director of Operations

PAY STRUCTURE: $30 - $34/hr ($62,400 - $70,720 annually)  Based on experience & qualifications 

TIME-FRAME: 9AM – 6PM, M-F occasional weekends & extended days 

DEPARTMENT: Management Professional

REPORTS TO: Executive Director & Chief Professional Officer 


PRIMARY FUNCTION:

Oversees Club operations and programs with primary concern for program development and implementation; staff development; supervision of assigned staff. Maintains positive communication and representation with employees, schools, parents and community, providing representation and ongoing Club updates.


KEY ROLES (Essential Job Responsibilities):

Leadership

1. Oversee the implementation and delivery of operations, programs, services and activities that facilitate achievement of Youth Development Outcomes.

2. Maintain communications with local districts and partner agencies to develop plans and implement programs and grant expectations. 

3. Manages Club operations calendar to plan for closures, events, trainings and proper implementation of BGCA programs and other grant related outcomes/submissions. 

4. Provides coaching, support and conflict resolution to Club Employees, Parents and community members to address questions or concerns related to the Club.

5. Be well versed on all program procedures and responsibilities of program management and frontline staff, monitoring, developing and implementing new practices to achieve ongoing success.  

6. Observe and support the work of Program Directors to improve the employee training process and implementation of programs and adequacy of employee performance at all Club locations.

7. Become well versed with the Club’s online platforms; Website, Database, Email Platform, as well as all program handbooks and required forms. 

8. Manages Club’s Registration Portal, Employee Communications Portal, Parent Portal, etc., to communicate information effectively, update program options in accordance with the Club calendar and maintain professional standards of use. Provides necessary updates to all associated platforms and forms listed in roles 7 & 8.

Strategic Planning

9. Oversee the identification and evaluation of opportunities to improve program effectiveness on the basis of participation and achievement of stated goals; recommends modifications to improve program performance, as appropriate.

Resource Management

10. Coordinate agency budget development; monitor and report variances in expenditures and monitor spending allocations for program grants.

11. Manage administrative and operational processes, overseeing the maintenance and repair of buildings, equipment, and other facilities.

12. Manage performance of assigned staff in achieving goals, providing technical assistance in program design, development, community relations and program operations.

13. Plan, implement and track a staff development and training program. 

14. Oversees the program outcomes and grant expectations assigned to all program staff and ensures grant reports are submitted accurately and in a timely manner. Knowledge of Club grants is crucial.

Partnership Development

15. Develop collaborative partnerships with other youth serving organizations, members, parents, families and community organizations.

16. Support Specialized Programs and Board Committees, as assigned.

Marketing and Public Relations

17. Participate in activities to maintain good public relations for Club programs, services and activities.

18. Prepare and present relevant and well-designed Club information at District and Community events. 


ADDITIONAL RESPONSIBILITIES:

1. May assist in the administration of restricted programs by overseeing program operations at each location; ensures the completion of required reports; and preparation of any required interagency reports.

2. May be responsible for managing human resources programs and systems including recruitment, employee relations, compensation and benefits, training and development.

RELATIONSHIPS:

Internal: Maintains close contact with assigned staff to provide technical assistance in matters of programming and operations; interacts regularly with Executive Director and as assigned with the Board and its Committees.

External: Maintains contact with external community groups, schools, grantors, supporters, etc.

SKILLS/KNOWLEDGE REQUIRED:

• Associates degree required, Bachelor's degree from an accredited college or university preferred.

• A minimum of five years work experience in non-profit agency operations management and supervision, or an equivalent combination of experience and education.

• Considerable knowledge of: the mission, objectives, policies, programs and procedures of Boys & Girls Clubs; of the principles and practices of non-profit organizations.

• Should have grant management experience specific to; After School Education & Safety (ASES), Community Service Block Grants (CSBG), and familiarity with other funding sources/foundations. 

• Demonstrated ability to organize, direct and coordinate operations; in personnel supervision, the recruitment and retention of key personnel; facilities management; and budget management.

• Must possess the ability to take initiative and be self-sufficient.

• Strong communication skills, both verbal and written. 

• Must possess technological skills including Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.)

• Ability to manage multiple tasks and to develop solutions to problems with limited supervision.

• Ability to establish and maintain effective working relationships with Club staff, subordinates, Board members, community groups, and other related agencies.

• Experience with working with diverse people from various backgrounds and/or language barriers

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

• Maintain a high energy level and positive representation.

• Be comfortable performing multi-faceted projects in conjunction with day-to-day activities.

• Must be able to work in loud environments and communicate clearly.

• Stand for four plus hours per day.

• Stoop, bend, climb, and walk frequently.

• Lift up to 40 pounds.
